Privacy Policy

This policy explains what personal information Tee DosSantos dba OakSphere (“OakSphere”, “we”) collects through oaksphere.co and through Interlock Mesh, what we do with it, and how to reach us about it. Questions or requests: tee@oaksphere.co.

1. This website

• The contact form. If you fill it in, we receive your name, work email, company and the note you write. The message is posted to OakSphere’s private Slack workspace so we can reply to you. We do not add you to a mailing list.
• Email. If you email us, we keep the message in our Google Workspace mailbox.
• Server logs. Like any website, our hosting provider records technical request details such as IP address, browser type, page requested and time. We use them to keep the site running and to block abuse, for example rate-limiting the contact form by IP address.
• Fonts. Pages load the Plus Jakarta Sans font from Google Fonts, so your browser sends your IP address to Google when it fetches the font.
• No cookies or trackers. This site sets no cookies and uses no analytics, advertising pixels or third-party tracking scripts.

2. Interlock Mesh

When you use Interlock Mesh, we store:

• Account and billing details: your name, email address and company, and your subscription status. Payments are handled by Stripe. OakSphere never sees or stores your full card number or bank account number.
• Content your agents write: the tasks, notes, tags and links your team’s AI assistants add to the shared queue and memory.
• An activity log: each action taken in your workspace, which agent and which person took it, and when.
• Session records: which agent or tool connected and when.
• API keys: each key is shown to you once and stored only as a hash, with its label and role.

Each customer’s data is kept separate from every other customer’s using database row-level security.

3. How we use information

• To run Interlock Mesh and deliver the services you buy.
• To reply to you and provide support.
• To bill you and send trial reminders and receipts.
• To keep our systems secure and prevent abuse.
• To meet legal, tax and accounting obligations.

We do not sell your personal information, we do not share it for advertising, and we do not use your content to train AI models.

4. Who processes it for us

We may also disclose information if the law requires it.

5. How long we keep it

• Interlock Mesh content and account data: for as long as your account is active, or until you ask us to delete it.
• Backups: nightly backups are kept for up to 90 days and then deleted automatically, so deleted data can remain in a backup for up to 90 days.
• Contact-form messages and email: for as long as we need them to respond and to keep a record of our conversation, unless you ask us to delete them.
• Billing records: as long as tax and accounting law requires.

6. Your choices

You can ask us to show you, correct or delete the personal information we hold about you by emailing tee@oaksphere.co. We may need to confirm your identity first, and we respond within 30 days.

7. Security

All traffic to oaksphere.co and mesh.oaksphere.co uses HTTPS. API keys are stored only as hashes, customer data is separated with row-level security, and stored data is encrypted at rest by Google Cloud. No system is perfectly secure; if we learn of a breach that affects your information, we will tell you.

8. Children

Our products are for businesses and are not directed at children under 16.

9. Changes

If we change this policy, we update the date at the top. If a change materially affects how we use your information, we email Interlock Mesh subscribers before it takes effect.
